The Human Resources Coordinator provides administrative support and coordination of key functions within the Human Resources Department. Upholds the Principles of the Magna’s Employee Charter by maintaining the HR policies and practices. Provides guidance and instruction on HR Policies and systems as required while maintaining positive employee relations.
Duties and Responsibility:
• Ensure effective and accurate administration of employee records and employee systems;
• Prepare New Hire packages, track completed paperwork and conduct new hire orientation as required;
• Compile letters, memos, presentations, and other documentation as needed;
• Answer the reception line as needed and re-direct to the appropriate departments/personnel;
• Support employees with Dayforce / Workday / Payroll inquiries and training (assist employees with setting up their Dayforce / Workday accounts);
• Assist employees with inquiries related to the company benefit programs;
• Create postings for and regularly update communication boards as required;
• Update and maintain the MyLife App, and MagnaNow, as needed;
• Prepare Monthly Employee Meeting (i.e. presentation slides, sign in setup and attendance);
• Ensure all hourly performance reviews are tracked, filed and notifications are sent out in a timely manner;
• Assist with administration of updating and sign-off of all job descriptions;
• Support bi-weekly payroll process with quick entries and timesheet entries and review;
• Maintain and update Workday / Dayforce with employee changes including personal information, compensation, leaves etc.;
• Communicate daily with the temporary agencies & production teams to request and confirm temporary staffing needs, maintain temporary tracking spreadsheet in a timely basis and forward timesheets to the agencies weekly;
• Reconcile temporary staffing invoices and hours on a weekly basis;
• Prepare and maintain supply of Temporary Orientation Packages in the production offices in both buildings;
• Prepare employment letters, coffee chat invitations, communications and other documentation as required;
• Assist in the updating of Isoquest HR work instructions as required;
• Administration of the hourly job posting process and recruiting needs as required (i.e. posting jobs, screen resumes, administer written assessments, schedule interviews, reference checks etc.);
• Lead the planning and coordinating of social events and vendor purchases;
• Arrange travel for employees as required (car rentals, travel letters etc.);
• Assist with the progressive discipline process as required;
• Assist with updating Production Training Quadrants;
• Coordinate bereavement arrangements for employees as required;
• Responsible for monthly HR invoice reconciliation including temp agency, catering, service awards, PPE, travel etc;
• Prepare PO’s for the HR department as required;
• Call employees upon the request of departments regarding recall to work, production slowdowns, etc.;
• Coordinate retirement process and meet with employees to review retirement package contents (PO’s, order gifts, prepare certificates);
• Assist with the administration of the STA process as required;
• Conduct exit interviews with departing employees and track opportunities for improvement;
• Support HR and other departments and management with weekly and monthly reports;
• Provide assistance and instruction to employees and managers on Human Resources programs in accordance with the principles of the Employee Charter;
• Promote positive Employee Relations and assist with responsibilities such as updating company policies, procedures and responding to employee inquiries in a timely manner;
• Always ensure excellent customer service both internally and externally;
• Support the Magna Employee Charter principles and ensure fair and equitable treatment of all employees;
• Ensure shop floor visibility and coverage for all shifts as required;
• Responsible to ensure confidentiality and accuracy of all HR and employee documentation;
• Provide assistance and support to the HR team on projects as required;
• Performs other duties as required;
• Supports all MAFACT requirements;
• Must comply with all IATF 19649 and ISO 14001 (Environmental) and OHSAS 18001 (Health and Safety) systems and standards as it pertains to their work;
• Abide by all AODA and C-TPAT procedures that apply to their position.
Skills and Qualifications:
• Post-Secondary Education in Human Resources, or equivalent
• CHRP an asset
• 1-2 years’ experience working in HR admin role
• Experience working in the manufacturing industry an asset
• Working knowledge of all current Employment Legislation, ESA, OHSA, AODA
• Excellent communication skills both verbally and written
• Strong organizational and time management skills
• Ability to work in a fast-paced environment and work independently as needed
• Experience with Workday, Dayforce, Microsoft, Word, Excel, PowerPoint, Outlook.
