You are a Proposal Coordinator who is involved in the coordination of the development of expressions of interest, pre-qualifications, and requests for proposals. You take the lead in organizing all required groups, collecting and preparing the final documents for submission and the proposal writing and implementing the proposal process. You engage with business development, operations, estimating, commercial (insurance/risk), legal, quality, health, safety and environment, financial, and other shared services to ensure the timely delivery of a professional and compliant proposal. Essential Responsibilities:
- Support and coordinate the prequalification, proposal, and tender submissions. Coordinate the production and delivery from initial request to final submission while following proposal processes, standards, and templates
- Coordinate the scheduling of Go, No Go (pre-bid), operational reviews (during bids), and final reviews (prior to submission)
- Supports the successful development and execution of the proposal submission and ensures high-quality preparation and production
- Assist in liaising effectively with the client, including understanding and complying the client’s requirements, use of portal sites to submit responses, and coordinate with consultants, internal staff, and other key contributors to develop proposal content and ensure adherence to key milestones
- Support in creating and maintaining proposal content, which includes boilerplate text, project profiles, resumes, and proposal databases, ensuring information is properly sourced and approved
- Provide support to Business Development teams, which may include preparing and editing presentations and other marketing and communication materials, monitoring opportunities for RFPs, EOIs, and RFQs, reviews and distributes pursuit or bid-related reports, and make updates to Salesforce, as required
- Participates in strategic initiatives and provides feedback to improve proposal processes and technology tools
- Supports with preparing correspondence, meeting minutes, and other documentation
- Acts as a resource for other team members, including training and onboarding of new team members
Qualifications:
- Minimum of 1 years’ experience of project coordination/ proposal coordination
- Telecom and/or Utility Construction procurement process background
- Business development and marketing experience
- Excellent verbal and written communication skills
- Strong interpersonal skills, both written and verbal
- Ability to maintain a high level of confidentiality and professionalism
- Experience using SharePoint, Box, JungleDocs, Salesforce, Empower, Microsoft Teams is considered an assert
Work Conditions:
- This is a hybrid work position where you will be required to be in office multiple times a week
