Job Description:
The SMA (www.sma.sk.ca) is a voluntary, member-based, professional association for physicians, medical students and residents in the province. As the trusted voice of Saskatchewan’s 2,600 practicing physicians, the SMA negotiates for and on behalf of our doctors; supports the educational, professional, economic, and personal well-being of physicians; and advocates for a high-quality and patient-centred, health-care system.
We have an exciting opportunity for a full-time, permanent Coordinator, Retention & Recruitment to join our growing team!
Reporting to the Team Lead, Retention & Recruitment, this position will be responsible for or providing coordination, administration, and operational support of the retention and recruitment programs and activities exclusive to the SMA for their members. This position also provides timely administrative support to the Rural and Regional Practice Committee and Specialist Recruitment and Retention Committee.
This position is based on-site at our office in Saskatoon, SK, with a voluntary hybrid work option allowing remote work from home up to 2 out of 5 days per week subject to approval under our Hybrid Work Arrangement policy.
Key responsibilities include:
- Plans, organizes, coordinates, and provides logistical and administrative support, for multiple and varied recruitment and retention programs, events, and activities.
- Provides initial evaluation and initiates action on program applications and claims including approvals, tracking, and communication with stakeholders within defined parameters.
- Provides logistics planning and support for the Rural & Regional Practice Committee (RRP) and Specialist Recruitment and Retention Committee (SR&R) including agenda setting, tracking and posting supporting documents and information items, records and prepares meeting minutes, and tracks action items.
- Builds partnerships and trusted resource to members, students, residents, physicians, support staff, and outside agencies by fielding telephone calls, emails and inquiries and addressing concerns.
- Participates in program development, policies, procedure formulation and program evaluation.
- Coordinates with internal staff, clients, and vendors to establish the requirements for retention and recruitment events including promotion, registrations, travel, accommodations, acquisition of marketing promotional materials, and member evaluation within approved budgets. Attends events as required or when directed.
- In consultation with the Team Lead, Retention & Recruitment, identifies and recommends opportunities for new retention and recruitment programs and activities, and processing improvements that support the attainment of the SMA and committee goals.
- Effectively assists and provides cover-off services to other coordinators as required.
- Performs other related duties as assigned by the Team Lead, Retention & Recruitment or the Director, Membership, Insurance, and Programs.

Education
- Post-secondary diploma/certificate in a business administration related field/or equivalent education and experience.
