Description
Reporting to the Director of the HITS (Health Information Technology Services) Informatics Team, the Administrative Assistant provides support to the Director and CI team members. The incumbent proactively organizes, supports and liaises with both internal and external stakeholders who interact with the Director(s), Management Team and department staff, to ensure effective and efficient operations. Specific duties include: organizing and managing daily calendars; meetings - scheduling, organizing materials and recording minutes for the Director and Informatics Team as assigned; maintaining Sharepoint sites; maintaining the absence calendar and payroll duties, financial, Human Resources, purchasing and other tasks as assigned.
1. Graduate of a Community College (Office Administration Diploma), program or equivalent
2. Minimum 3 to 5 years experience in administrative/secretarial role.
3. Strong administrative and organization background, ability to prioritize, multi-task, schedule and carry out tasks with a strong attention to detail, superb organization and management skills.
4. Demonstrated excellence in effective communication (written and verbal), and interpersonal skills.
5. Demonstrated proficiency in computer skills (Microsoft Office – Word, Excel, Access, Outlook, Powerpoint); Meditech, Intranet/Internet, MS Visio, Human Resources Information Systems.
6. Demonstrated excellent event management skills.
7. Demonstrated effective and creative problem-solving abilities, positive attitude, initiative, and judgment in developing, adapting and applying processes to address problem situations.
8. Strong team player skills with a strong sense of ownership and accountability and the ability to work independently.
9. Demonstrated ability to handle confidential information and apply discretion.
10. Demonstrated record in pursuing own continuing professional development and availing of opportunities for learning.
