Background: Flemingdon Health Centre (FHC) is a registered charity and not-for-profit Community Health Centre serving Flemingdon Park, Fairview, and Thorncliffe Park. Across three sites, FHC provides health-related services grounded in the social determinants of health, community engagement, equity, inclusion, accountability, excellence, collaboration, and partnerships.
Position Summary:
Provide administrative support to the FHC–North York General Hospital Access evening clinic, delivering compassionate front-desk service while managing competing demands and communicating effectively with clients, providers, and team members.
Responsibilities include:· Provide respectful front-desk service to clients, providers, visitors, and staff.· Respond to inquiries and direct individuals to appropriate staff, programs, or services.· Assess walk-in, new-client, and urgent situations and contact the nurse on call for triage as needed.· Update client demographics and maintain records by uploading faxes and scanning documents promptly.· Book, change, cancel, and follow up on appointments, including diagnostic, specialist, and interpreter appointments.· Screen potential clients for catchment area, Health Card, and documentation requirements and provide appropriate referrals when needed.· Manage challenging interactions calmly and professionally using de-escalation and defusing techniques.· Perform front-desk and back-office duties, including telephone coverage and team backup as required.· Support quality improvement, process improvements, and collection of demographic data.· Follow FHC policies and procedures, including privacy requirements and breach-related procedures.· Perform other duties as assigned.
Skills and Qualifications:
- Secondary School Diploma or equivalent; post-secondary education is an asset.
- Medical Secretary certificate or equivalent.
- Strong written and verbal communication, organizational, coordination, and interpersonal skills.
- Familiarity with electronic medical records; PS Suite experience is an asset.
- Proficiency with computers, typing, MS Office, Microsoft 365, and web-based tools.
- Ability to work independently and collaboratively in an interdisciplinary team.
- Experience handling confidential information and knowledge of applicable privacy laws.
- Demonstrated cultural competency and commitment to anti-racist, anti-oppressive, non-judgmental practice.
