Job Description

Clinical Support Clerk

Clinical Support Clerks prepare correspondence, reports, statements and other material, operate office equipment, answer telephones, verify, record and process forms and documents

Perform clerical work and maintain records as required and perform clerical work as assigned by all Department Managers.

Maintain files/records such as current and/or discharged resident files, in-service attendance records, etc. Process orders or requisitions, book resident appointments, etc.

Maintain the inventory levels of nursing supplies, forms and equipment.

Deliver supplies and must be able to lift 15lbs or more.

Adhere to established department policies and procedures regarding quality assurance, fire, safety, environment, and infection control.

Communicate pertinent information to staff, residents, visitors, etc.

Participate in facility meetings as assigned. Attends in-service education programs.

Other duties as assigned by Supervisor.

Job duties

Respond to telephone, in person or electronic enquiries or forward to appropriate person

Prepare correspondence, reports, statements, forms, presentations, applications and other documents

Process incoming and outgoing mail, manually or electronically

Photocopy and collate documents for distribution, mailing and filing

Send and receive messages and documents using fax machine or electronic mail

Assist in preparing meeting agendas, attend meetings, and record minutes

May sort, process forms and other documents, complete Audits

May organize the flow of work for other office support workers

Locate, retrieve, or make copies of documents from files as requested and maintain records of filed and removed materials

Creation of admission charts, maintaining charts, culling charts/orders, discharge charts.

Book appointments, transportation and facilitate lab visits for residents.

Ordering, stocking, inventory, maintaining nursing supplies and incontinent supplies.

Filing of resident charts, papers, nursing documentation.

Check Roam Alert Bracelets (WanderGuard bracelets) daily

Booking care conferences with physicians/interdisciplinary team/ residents/families.

Maintain Care Conferences Calendar and communication to the team

Occupational Health and Safety Accountabilities

Reception and Storage of Nursing Supplies (check with nursing staff before ordering)

  • Ensure supplies ordered are received, check packing slip against order, and give it to Operations Manager.

  • Ensure supplies are stored in appropriate places and in appropriate containers/packaging as soon as possible after receiving them to ensure exit and entryways are cleared and supplies are immediately accessible to nursing staff.

  • Ensure nursing staff have a list to update for requested/needed supplies.

What you bring:

Ability to read, write, and communicate effectively in English.

Administrative skills, typing and filing.

Computer skills required: Working knowledge of Microsoft Word, Excel, Outlook.

Ability to work safely, following established safety practices and procedures.

Excellent organization skills, multi-tasking ability, and self-motivation.

Excellent interpersonal, communication, presentation, and organizational skills.

Provide a clear Criminal record check including Vulnerable Sector Check

Follow safe work practices as directed by their supervisor and as required by the applicable OH&S legislation.

Participate in all required OH&S training.

Use appropriate equipment and wear PPE or clothing as required by the Organization.

Report any known or identified health and safety hazards or violations to their supervisor.

Refrain from any conduct that puts themselves, workers, contractors or others at risk.

Qualifications

Secondary School Diploma

Business Administration Diploma preferred.

Knowledge of basic payroll principles.

1 year experience in providing general office support.

Ability to operate office equipment.
