Description
SUMMARY OF THE POSITION
A person who assists one or more professionals or a work team in their administrative and professional functions. They mainly and habitually perform duties relating to the development and processing of files or data requiring specific knowledge.
They carry out a set of administrative or management tasks according to complex methods and procedures that are established or that they can modify, as needed.
They may also perform tasks relating to the secretarial sector.
SPECIFIC FUNCTIONS
• The incumbent coordinates transportation and accommodation services for users, in collaboration with the Wiichihiituwin team and external partners.
• Receive, analyze, and process transportation requests (round trips, transfers, emergencies, consultations).
• Plan routes and assign drivers according to medical priorities, schedules, and available resources.
• Confirm trips and maintain constant communication with drivers, users, hospitals, and service points.
• Manage unforeseen events (delays, absences, weather) and quickly propose alternative solutions.
• Use management systems to track trips and produce reports (statistics, incidents, satisfaction).
• Identify accommodation options according to needs (accessibility, proximity, duration).
• Reserve accommodations in accordance with internal policies and budgets.
• Confirm reservations, forward information to users and stakeholders, and follow up on stays.
• Update databases and document all actions in the management system.
• Offer courteous and respectful support to users, answer their questions, and ensure their comfort.
• Maintain clear communication with suppliers and team members.
• Work closely with liaison officers, medical coordinators, and social workers.
• Participate in team meetings and contribute to the continuous improvement of services.
REQUIREMENTS
Education:
• Must have a High School Diploma.
Knowledge and Abilities:
• Good knowledge of routine office work;
• Good knowledge of computerized system;
• Proactive & team work capabilities;
• Autonomous, flexible and discrete;
• Ability to work well under pressure and independently with minimum supervision;
• Sense of accountability, resourcefulness and vigilance;
• Practical and attentive to detail;
• Excellent communication skills (both written and spoken).
LANGUAGE
• Fluent in English
• Fluency in Cree and French is an asset.
OTHER
• Possibility of rotation;
• Possibility of on-call.
• Test of aptitudes will be administered. The passing percentage is 70%.
