Human Resource Administrator - 12 Month Term

Reporting Relationship: The Human Resources Administrator reports directly to the Director, Human Resources.

About the Role:

Are you someone who loves creating structure, enjoys variety in your workday, and thrives in a team-oriented environment? We’re looking for a highly organized and proactive HR Administrator to join our vibrant HR team at Birchwood for a 12-month term.

In this role, you’ll be at the heart of our day-to-day HR operations-supporting onboarding, benefits, documentation, and health & safety coordination. From welcoming new team members and ensuring a smooth onboarding experience, to keeping our compliance and safety records in check, your contributions will help drive a positive experience across all dealerships and support departments.

Key Responsibilities:

HR Services & Onboarding

  • Create and manage new hire files, HRIS system profiles, and onboarding plans
  • Coordinate benefits enrollments and optional programs such as Critical Illness and Wellness Subsidy
  • Support communication with IT, Payroll, and Leadership for onboarding logistics
  • Maintain culture-related onboarding items, like new hire photos and internal HR posts
  • Track, organize, and upload required documentation (e.g., DARs, HR invoices)
  • Maintain the HR directory and support team member affinity and recognition programs

Health & Safety Coordination

  • Assign and track monthly Toolbox Talks and compliance documentation
  • Manage records for emergency drills, inspections, hearing tests, and other safety activities
  • Input and maintain Safe Work Procedures (SWPs) and policies in HR4
  • Support training registrations (e.g., SJA, S2SA) and safety committee coordination
  • Create and distribute compliance reports and support H&S process updates

Qualifications

  • Post-secondary education in Human Resources or Administration (preferred)
  • 1-2 years of experience in HR administration or office coordination
  • Strong attention to detail and organizational skills
  • Comfortable using MS Office; familiarity with HRIS systems such as HR4 is a plus
  • Professional communication skills and a team-first mindset
  • Ability to handle confidential information with care and discretion
