Your Opportunity

Our Hawkesbury office is looking for a Bilingual Administrative Professional / Receptionist to join the Internal Administration team for a 6 month contract with possibility of extensionfrom June to November 2024. This role will require you to be in office 100% of the time, and you will own the following responsibilities:

  • Provide administrative support to a group of Partners including all incoming and outgoing communications as well as calendar management and acting as the gatekeeper for all external and internal contacts
  • Provide daily assistance at reception
  • Ensure all documents and deliverables are properly edited prior to being sent to clients
  • Provide coverage for other support staff during vacations, illness and other absenteeism as requested by the Admin manager
  • Photocopy and file important documents such as reports, meeting notes, emails, letters, assist with client mailouts and other general admin and clerical duties as assigned
  • Serve as point of contact for clients to address issues related to billing and document travel
  • Lead client invoices, databases and meeting coordination
  • Lead workflow software/systems including tracking and reporting
  • Assist with Partner expense reports
  • Provide administrative support to multiple Partners and staff within the office, including calendar management and inbox prioritization
  • Client interaction to support information requests and follow-ups
  • Assist with billing, collections and processing of A/R and A/P

Your experience and education

  • You have 1-2 years of working experience in an Administrative or similar role
  • You have experience working at reception
  • Bilingual (French and English)
  • You have an Office Administration diploma or other relevant education
  • Prior working experience at a professional services firm is considered a strong asset
  • You have thorough knowledge of Microsoft Office computer programs (Word, Excel, Outlook)
  • You have the ability to prioritize workload and the flexibility to manage multiple tasks
  • You have the ability to work in a deadline driven work setting and deal with confidential information
  • You have strong problem solving, analytical and communication skills both written and oral
  • You value teamwork, client service and quality in detailed work
