Description
The Administrative Support V provides advanced support to the Manager of Site Operations, whose portfolio includes the Site Integrated Operations Centre (SIOC), Central Portering, the Joint Workplace Health and Safety Committee, the site Patient Flow Working Group, and Medical Photography. This position works closely with leaders across the UAH and the MAHI, supporting key operational priorities and several complex committees and working groups. A significant part of the role involves supporting the Joint Workplace Health and Safety Committee, a legislatively guided and politically sensitive committee with both unionized and non unionized members. The incumbent coordinates committee activities, prepares accurate documentation aligned with AHS Terms of Reference, and supports effective communication among diverse stakeholders. This requires diplomacy, professionalism, maturity, and the ability to manage sensitive issues. The role also provides essential support to the Patient Flow Working Group, a large site based group at times with multiple sub groups requiring coordination, minute taking, tracking of action items, and clear follow up. The successful candidate must be able to synthesize complex information, support leaders across programs, and manage shifting priorities in a fast paced environment. This position requires strong independence, critical thinking, and the ability to anticipate needs. The Administrative Support V must use sound judgment when guidance is limited, respond to escalated issues appropriately, and maintain professionalism in all interactions. Given the complexity and sensitivity of this work, meticulous attention to detail is essential to ensure accuracy in documentation, scheduling, committee records, and communications.
As an Administrative Support V, you will require advanced administrative or specialized skills and knowledge to support complex procedures, practices and initiatives within a department or program.
Completion of post-secondary education (e.g. certificate in office or business administration).
Minimum five (5) years’ progressive administrative experience providing direct support to operational leaders in a health care setting. Advanced computer skills and proficiency with Microsoft Office (Word, PowerPoint, Excel, Visio) and Outlook. Ability to create and maintain electronic filing systems. Exceptional attention to detail, ensuring accuracy in documentation, scheduling, minutes, and follow up in a fast paced environment. Skilled in supporting large committees or working groups, including accurate minute taking, summarizing complex information, and preparing materials for committees guided by legislation or formal Terms of Reference. Experience supporting staff recruitment, scheduling, and payroll. Excellent written and verbal communication skills. Strong collaborative abilities and effective teamwork. Demonstrated professionalism, judgment, diplomacy, and discretion when handling sensitive or confidential matters. Proven ability to problem solve independently, anticipate needs, manage competing priorities, and take initiative Demonstrated maturity and reliability in politically sensitive or multi stakeholder environments, including those with unionized and non unionized members. Demonstrated ability to receive, integrate, and act on feedback in a professional manner.
Working knowledge of Collective Agreements as they apply to staff scheduling processes and payroll. Experience working in ePeople (including RMS), Markview, Oracle, and eFacilities. Proficiency in InforWFM (scheduling and payroll).
