Description
The Department of Clinical Neurosciences is looking for a detail-oriented and proactive Administrative Support V to join the Clinical Neurosciences team at South Health Campus. This role provides high-level administrative support to the Site Lead, four Neurologists, and the Educational Director of Neuromuscular, contributing to both clinical and educational excellence. Description: As an integral member of the team, you will support leadership and educational functions, coordinate complex clinic schedules, and manage multiple stakeholder communications. You will also assist with fellowship and resident scheduling, onboarding, and program coordination. Key Responsibilities Include: Administrative support for the Site Lead and Neurologists. Support for the Educational Director of Neuromuscular and the Fellowship Program. Coordination of multiple clinic schedules and stakeholder communications including input of ROCA. Organization of Journal Clubs and related logistics. Meeting management: agendas, invitations, minutes, and follow-ups. Backup for master scheduling in eSummit and ROCA. Backup for timekeeping processes. Fellowship application support: document collection, onboarding, and payment processing. Scheduling fellows and residents for EMG, Neuromuscular, and ALS clinics. Preparing welcome letters for residents prior to rotations. Coordinating away dates for residents. Other Duties as needed.
As an Administrative Support V, you will require advanced administrative or specialized skills and knowledge to support complex procedures, practices and initiatives within a department or program.
Completion of post-secondary education (e.g. certificate in office or business administration).
Minimum 5 years' experience as an administrative assistant to leadership positions. 2 years' experience with Fellowships. Demonstrated advanced software experience in Microsoft Word, Excel. Outlook web access (calendar and email). Basic accounting/financial knowledge. Must be self-directed; able to problem solve sensitive and complex issues. Must be able to work under pressure to manage and organize competing and changing priorities and to meet deadlines with multiple interruptions. Superior communication and interpersonal skills. Must be able to exercise professionalism, judgment, tact, diplomacy and discretion when dealing with highly sensitive and confidential issues. 3 years' experience in complex scheduling. 1 years' experience with Peoplesoft (UofC) financial systems.
