Description
Reporting to and supporting the Program manager of NW Campus, the Administrative Support V provides advanced level clerical and/or administrative support, performing duties that focus on supporting administration and care providers within the NW Campus clinics. This role will provide support to the AMH Outpatient programs within the NW Campus. These programs provide treatment to patients with a broad range of mental health concerns. Key responsibilities include: maintenance of unit work plans and staff assignments, analyzing staffing levels and make changes as needed, anticipating staffing needs and communicating to the manager about shifts that require further attention, assisting with office procedures that support more complex scheduling and timekeeping procedures, run reports as requested by management, maintenance of rotations, setting up new hire IT access, maintenance of operations and orientation manuals, ordering supplies, records keeping and documentation, meetings and minutes, as well as supporting with welcoming patients, contacting and scheduling appointments with patients, organizing and order of charts, and working/supporting with all administrative tasks. A portion of this role will include project support for program development. The Administrative Support V must be able to perform complex duties, maintain confidentiality, organize multiple demands with shifting priorities, which impact one or all areas/providers and patients within the unit, and an ability to meet deadlines and establish protocols and procedures for support services to meet the diverse needs of the patients and their families. Responsibilities of the Administrative Support V require independent judgment and solid knowledge of departmental and organizational policies and procedures. This role will also supervise Admin IV within the NW Campus.
As an Administrative Support V, you will require advanced administrative or specialized skills and knowledge to support complex procedures, practices and initiatives within a department or program.
Completion of post-secondary education (e.g. certificate in office or business administration).
Training/education can't be substituted with experience and can't be learned on the job. 5 years administrative experience with the last 3 years in an Addiction and mental health setting and knowledge of the mental illness and population required. Computer skills - proficient use of MS Office suite. Comfort with technology and the ability to quickly master new software programs. Ability to learn new material quickly, prioritize work and cope with frequent interruptions, be flexible and adaptable towards change Ability to work independently, demonstrate initiative and attention to detail required. Demonstrated knowledge of organizational/ clinical workflows and practice, prioritization, and time management skills required. Demonstrated knowledge of CTO process and Alberta Mental Act required. Ability to deal appropriately with all levels of staff and handle multiple demands. Perception, initiative, good judgment and concern for detail and accuracy. Excellent interpersonal, verbal and written English communications skills Good organization skills, experience and comfort in problem solving and conflict resolution. Ability to promote the change process in a positive manner. Ability to sit and stand for prolonged periods with extended computer use and lift up to 10 pounds. Data entry and database management skills required. Experience with Connect Care required.
Experience with dictation preferred. Demonstrated experience with management and maintenance of unit work plans and staff assignments. Working knowledge and comfort with outpatient services redesign (intake and referral process).
