Alberta Health Services (AHS) is looking for a dependable, highly organized individual for the position of Administrative Support IV. This fast paced and detail oriented temporary full-time position is located at the University of Alberta Hospital. Reporting to the Manager of Environmental Services and directed by the Supervisors, this position provides administrative support for the Environmental Services Department. Responsibilities include but are not limited to managing and monitoring bed requests in Connect Care, dispatching employees to cleaning tasks, timely and accurate payroll entry, responding to payroll inquiries, maintaining working knowledge of scheduling processes and scheduling of front line employees, answering and documenting incoming phone inquiries, booking meeting rooms and attending meetings, and coordinating various office activities, including ordering supplies and maintaining internal and external contacts. This position is also responsible for creating and maintaining databases, spreadsheets, reports, compiling statistics, and maintaining up-to-date OH&S binders, along with other duties as assigned. This role requires the ability to multitask and prioritize around tight deadlines with advanced knowledge of Microsoft Office Suite including Word, Excel, Outlook, PowerPoint, and Adobe, as well as the ability to run reports from other programs as directed by the Manager of Environmental Services. Additional activities may include managing multiple calendars, drafting and preparing business documents, and maintaining confidential documents. Interacting respectfully and professionally with internal and external contacts is essential.

As an Administrative Support IV, you will require advanced administrative or specialized skills and knowledge to support complex procedures, practices and initiatives within a department or program.

Some post-secondary education.

Successful completion of a recognized secretarial or office administrative program as well as 2 years administrative office experience is required. One year customer service experience. Relevant experience will be considered. Advanced knowledge of Microsoft Office Programs such as Excel, Word, Outlook, Power Point and Adobe are required, and an assessment of administrative skills will be performed. Typing speed of 50 wpm. Knowledge of office equipment such as multi-line phone systems, fax machines, photocopiers and voice messaging is required. Physical capabilities to lift, push and pull up to 22lbs of force is required. Ability to perform repetitive movements while standing, sitting, or crouching is required. Ability to work with chemical cleaners is required. All new employees will be required to attend a 4-day Environmental Services Orientation and a 1-day AHS Orientation. Preference will be given to internal applicants. Previous ePeople and Connect Care experience is an asset. Knowledge and application of WHMIS is preferred. Previous Ergonomics and Workplace Health and Safety courses are preferred. Knowledge of the Environmental Services Department is an asset.
