The Housing, Recovery and Young Adult Services portfolio has an opening for a temporary Administrative Support IV (AS IV) position with the our team, located at the Community Health Hub North and the RAH Unit 64, reporting to the Care Manager. From a recovery-oriented, DBT informed, asset-based perspective, the AS IV will work as an integral member of an interdisciplinary team to provide administrative support to physicians, mental health therapists, and clients. Your role will also include providing clinical support in scheduling, group therapy scheduling, prioritizing various tasks and deadlines, data entry, time entry, assisting the clinical team with various tasks, preparing minutes, initiating and composing correspondence as required by the team. Additional duties include managing referrals on an electronic medical system (Connect Care), coordinating meetings, assisting multiple Health Care Providers with various requests, and maintaining appropriate documentation on Connect Care. You will often be the first point of contact and required to schedule various treatment visit types on behalf of the therapists and physicians. Welcoming and engaging interactions with clients, families, staff, and external stakeholders on the phone and in person are instrumental responsibilities. Key behaviors and skills required are: multitasking, time management, organization, critical thinking, initiative and problem solving. We are looking for a dynamic, highly skilled, detail and quality-oriented individual who thrives in a fast-paced environment. An understanding of the purpose and goals of the team and the ability to bring ideas forward are important. This position is located on site and handles a large volume of phone calls.

As an Administrative Support IV, you will require advanced administrative or specialized skills and knowledge to support complex procedures, practices and initiatives within a department or program.

Some post-secondary education.

An Administrative Professional diploma or equivalent. Minimum 2 years’ experience in a community addiction and mental health setting is required. Two to five years of progressively responsible administration experience is required. Experience in an administrative role within a healthcare environment working with physicians. Strong computer skills with excellent Microsoft Office knowledge are essential. The ability to work independently and prioritize workload is necessary. Excellent planning, organizational and time management skills are required. Exceptional attention to detail and accuracy are a must. Outstanding interpersonal skills. Strong working knowledge of Connect Care is required to be successful in this position.

The ability to work under pressure and adapt to changing priorities. Expertise in managing electronic filing systems, shared drives and records management. Knowledge of Legislative Acts and AHS HIM Access & Disclosure guidelines is preferred. Experience with payroll and RMS is an asset
