Description
Located at the Lois Hole Hospital for Women (LHHW), this position supports busy ambulatory care environment providing specialized outpatient services. The Administrative Support IV also provides coverage and support to other ambulatory care clinics within the facility as needed. In this role, the Administrative Support IV serves as the first point of contact for patients and plays a key part in maintaining efficient clinic operations. Responsibilities include checking in patients, coordinating and booking appointments, managing referrals and documentation, answering phones, preparing forms and requisitions, and maintaining clinic supplies. The position ensures smooth clinic flow and contributes to a positive patient experience across multiple programs. Professionalism, adaptability, and strong organizational and communication skills are essential. The successful incumbent works collaboratively within a multidisciplinary team and consistently demonstrates the Essential Habits of the Royal Alex Way in all interactions with patients, families, and staff.
As an Administrative Support IV, you will require advanced administrative or specialized skills and knowledge to support complex procedures, practices and initiatives within a department or program.
Some post-secondary education.
Completion of post-secondary education in business administration, medical office assistant), or other related fields. Completion of 9-12-month Medical Office Certificate, medical terminology and experience within medical/hospital setting required. Strong proof reading and typing skills, Connect Care experience required. 1-2 years current experience as an Administrative Support IV in an Ambulatory Clinic in a Hospital Setting required. 1-3 years' experience in women's health required. Knowledge and operation of Microsoft Outlook, Word and Excel. Excellent communication, telephone, and organizational skills. Previous experience in data entry and high level of keyboarding is required. Physical Demands include ability to sit and work at the computer for long periods of time, standing and walking within the programs. Ability to bend, twist, squat, lift up to 50 lbs, push & pull up to 50 lbs. is required. Multitasking ability is a must. Ability to move between different clinics on short notice is required. Ability to work with and support patients and families during emotionally challenging health journey. Demonstrated reliability/dependability required.
MOA/Unit Clerk experience in a high acuity setting is preferred. Relevant education & experience in Women’s Health Ambulatory setting is preferred.
