The Administrative Support III reports to the Facilities Operations Manager and provides administrative support to the Outpatient Residence (OPR) Front Desk Reception. Key responsibilities include greeting guests; completing patient registration and discharge; collecting payments; and responding to inquiries by phone, email, and in person. The role supports the upkeep, safety, and cleanliness of hotel-style rooms by preparing daily housekeeping lists, reporting safety concerns, and entering and triaging maintenance requests through e-Facilities, including coordinating required work with Facilities Maintenance skilled trades. This position requires availability to work weekdays and weekends (including Saturdays, Sundays, and Statutory Holidays), during day shifts (7:00 a.m. - 3:15 p.m.), evening shifts (2:45 p.m. - 11:00 p.m.) and night shifts (11:00 p.m. - 7:15 a.m.) on an as-needed basis.

As an Administrative Support III, you will require advanced administrative or specialized skills and knowledge to support complex procedures, practices and initiatives within a department or program.

Completion of Grade 12 or equivalent.

One to two years work experience in a hotel or lodge with additional responsibilities of admin assistant/payroll would be an asset. Preference will be given to candidates with recent experience from a hotel or lodge reception setting. Advanced Microsoft office skills and can type with a minimum 45 wpm. Overall knowledge of hospital organization and operations. Must be physically able to carry out the duties of the position. Must demonstrate technical problem-solving abilities and be technically/mechanically inclined. Basic accounting and bookkeeping knowledge to prepare invoices required.

Must be willing to work in all areas of the hospital facility. Must be able to communicate clearly in English; verbally and in writing. Must be willing to upgrade education in a changing environment. Must be able to act alone without supervision. Must be able to maintain composure and make decisions in emergency situations. Must be able to organize workloads and ensure duties are completed in a timely manner.
