Description
This position provides a welcoming reception and scheduling service to clients with skill, expertise, and special consideration to the needs of those accessing Addiction & Mental Health services. As an Administrative Support III, you must be able to perform administrative support and functions of a complex nature with a high level of independence and confidentiality. This position supports Stabilization and Transition Clinic (STC) at Medicine Hat Regional Hospital and Adult Addiction and Mental Health Clinic (Adult AMH) at Medicine Hat Provincial Building. This position may require support Child, Youth, Family & Prevention Services. Administrative support services are provided to psychiatrists, therapeutic staff (Family Violence clinicians, Addiction Counsellors, Social Worker, and Mental Health Therapists), supervisor, and the manager of Adult AMH. The ability to perform duties such as greeting clients at the front desk, booking/rebooking appointments for clients in-person and by phone, advising psychiatrists and clinicians about their clients’ arrival or changes in appointments, making reminder calls to clients, and other office tasks such as filing, photocopying, faxing, and typing is required. The position will be required to work Mondays through Fridays, with a mix of day shifts (8:00am-4:30pm) and some later shifts during the early evenings up until 7:15 p.m. This position has been identified and is anticipated to transition to Recovery Alberta effective September 1, 2024. As an Administrative Support III, you will require advanced administrative or specialized skills and knowledge to support complex procedures, practices and initiatives within a department or program.
Completion of Grade 12 or equivalent.
The incumbent for the Administrative Support III position will possess comprehensive practical working knowledge of various Microsoft programs, including Outlook, Word, Excel, and Teams. Proficiency in MS Teams and Zoom for virtual meetings is also required. The successful candidate will demonstrate strong technical skills, adaptability to different software systems, and the ability to efficiently manage digital communication and documentation. Comfort with multitasking, prioritizing, and flexibility in the face of frequent interruptions. The successful candidate will have completed training for Connect Care: Clerk/Admin and Ambulatory Advanced Scheduler and will demonstrate a proficiency to join the administrative team. Post-Secondary Education (certificate or diploma) in office technology or administrative assistance/management. Minimum of 2 years' experience working in Addiction and Mental Health.
