Within Cancer Care Alberta (CCA), Supportive Care Services-Psychosocial and Rehabilitation Oncology-are delivered by healthcare professionals dedicated to improving the quality of life for those affected by cancer. These professionals are leaders across the cancer care experience- from diagnosis to end-of-life care. The Supportive Care team at the new Arthur J.E. Child Comprehensive Cancer Centre is seeking a team-oriented, customer-focused, and highly organized Administrative Assistant for a temporary full-time role. Reporting to the Manager, the Administrative Assistant provides reception and clerical support to ensure smooth clinical service delivery across Psychosocial and Rehabilitation Oncology teams in Southern Alberta. This role requires timely decision-making, initiative, a team-oriented approach to work and the ability to anticipate patient and provider needs. Key responsibilities include: Booking and coordinating in-person and virtual appointments across multiple providers. Communicating with patients regarding appointment details and changes; troubleshooting cancellations and rebooking. Updating and maintaining Connect Care templates. Managing referrals and ensuring timely processing. Handling incoming and outgoing correspondence. Maintaining patient records and confidentiality. Assisting patients, staff, and visitors with wayfinding. Photocopying, faxing, organizing supplies, and submitting orders. Generating reports and schedules using various computer applications. As an Administrative Support III, you will require advanced administrative or specialized skills and knowledge to support complex procedures, practices and initiatives within a department or program.
Completion of Grade 12 or equivalent.
High school diploma. Medical Office Assistant Education and/ or Unit Clerk Diploma. Proficient with MS Office Suite (Word, Outlook, Excel). Must have a consistent customer-centered approach to work. Excellent verbal and written communication skills. Demonstrated ability to collaborate effectively with colleagues, communicate clearly, and contribute to a supportive, solution focused team environment. Must demonstrate initiative, creativity, knowledge translation, and competence in time management. Able to independently recognize and manage confidential patient information and other hospital information. Able to work independently, problem solve and prioritize competing demands. Able to work with multiple tasks in an environment with constant interruptions. Ability to remain calm and responsive in emotionally stressful situations, including supporting patients who may be anxious or distressed. Able to work as a member of a multidisciplinary team.
Minimum 1 year administrative experience in a hospital or outpatient clinic setting in Cancer Care Alberta. At least 1 year of working experience in the Medical Office Assistant Role and/or Unit Clerk Role in Connect Care/ EPIC: Previous administrative assistant, secretarial and/ or unit clerk experience. Experience with using Zoom (booking, support others to access/ use Zoom). Experience ordering equipment and supplies using online ordering software. Non-violent crisis intervention training.
