We are currently seeking a motivated and skilled Administrative Assistant Coordinator (AAC) to join our Emergency Medical Services (EMS) team, based out of North Zone EMS Headquarters in Grande Prairie. This is an exciting opportunity to contribute to the critical operations of EMS in a leadership role. The AAC provides advanced administrative support to the Associate Executive Director of EMS, as well as a dedicated team of Directors and Managers within the North Zone EMS portfolio. In this pivotal position, you will also lead and manage a team of administrative support staff, providing guidance, oversight, and coordination to ensure seamless and efficient administrative operations across the zone.

The Administrative Assistant Coordinator (AAC) plays a key role within the North Zone EMS leadership team, taking initiative with limited supervision to ensure adherence to administrative procedures, processes, and organizational standards. This position is critical in supporting streamlined workflows across multi-disciplinary teams and ensuring timely decision-making through organized and efficient administrative operations. The role requires a high level of discretion and professionalism. Key Responsibilities: Provide leadership and supervisory oversight to a team of administrative support staff, fostering a collaborative and high-performance environment. Ensure consistent application of administrative policies, procedures, and standards within the office. Develop and maintain streamlined workflows to support operational efficiency and timely decision-making. Act as a primary administrative liaison for key internal committees, including Workplace Health and Safety Committee. Employee-Management Advisory Committee. Coordinate responses to public inquiries, ensuring timely, accurate, and professional communication. Support the leadership team in managing sensitive and confidential matters with discretion. Promote a culture of continuous improvement within the administrative team.

Minimum Required: High School Diploma or equivalent. Post-secondary certificate in office administration related studies (Business Administration, Medical office Assistant, Office Administration). Equivalent job experience as per management discretion.

Proven experience in administrative coordination or supervisory roles. Strong organizational and time-management skills. Ability to exercise sound judgment and discretion in handling confidential information. Excellent written and verbal communication skills. Comfortable working independently and collaboratively in a dynamic environment.

Diploma in business / office administration related fields. Other post-secondary education may also be considered. Proficient knowledge in the use of Advanced Microsoft Office Suite, e-People timekeeping and reports, RMS, iProcurement, iExpense, Marview, eManager, IAM, Adobe Suite.
