This role supports the coordination and execution of planning initiatives and projects within the TechOps Planning organization. This role ensures that all project activities align with established timelines, budgets, and compliance requirements, and to support consistent planning processes across multiple Planning teams.

The role works closely with Planning management and cross‑functional stakeholders to ensure planning initiatives are documented, progress is monitored, risks are visible, and implementation activities are coordinated in alignment with established objectives, timelines, and governance frameworks.

Responsibilities:

  • Manage planning‑related projects and initiatives within the TechOps Planning organization, ensuring alignment with established objectives, timelines, and priorities.
  • Monitor and track multiple Planning initiatives concurrently, maintaining schedules, milestones, dependencies, and action items to support consistent execution and visibility.
  • Ensure adherence to project timelines and achievement of objectives by reviewing all project activities to drive alignment across Planning.
  • Manage and maintain accurate project documentation, including project plans, schedules, decision logs, and status reports.
  • Review project progress and performance metrics, and provide insights and recommendations to optimize outcomes by identifying and addressing any issues or delays.
  • Identify opportunities for process improvements and support continuous improvement initiatives.
  • Develop and track comprehensive project plans, schedules, and budgets, in collaboration with Planning managers, by leveraging historical data for accuracy and efficiency.
  • Facilitate the allocation and management of project resources, ensuring optimal utilization while identifying and resolving conflicts and scheduling issues.
  • Prepare and distribute regular project status reports to stakeholders, highlighting key milestones, risks, and issues.
  • Promote effective communication and collaboration between project teams and other relevant stakeholders to ensure project success.
  • Manage risk and issue logs, ensuring timely resolution and escalation as needed.
  • Organize and participate in project meetings, preparing agendas, taking notes, and ensuring follow-up on action items.
  • Assist with tracking workload, capacity, and constraint information to support planning reviews and cross‑team coordination.

Qualifications

  • Post-secondary education in a relevant field. Bachelor’s degree in Business Administration, Engineering, or Operations Management is an asset.
  • Minimum of 3 years of experience in project coordination or a related role, preferably in the aviation or transportation industry.
  • Demonstrated ability to manage and maintain accurate project records and documentation.
  • Ability to coordinate multiple projects simultaneously, ensuring timely completion of key deliverables.
  • Strong verbal and written communication skills with the ability to provide clear updates to stakeholders at various levels.
  • Proven ability to work in a cross-functional environment, collaborating with teams across multiple departments.
  • Ability to identify potential risks or issues and support the development of solutions to keep projects on track.
  • Proficiency in project management software and tools (e.g., MS Project, Smartsheet, SharePoint).
  • Strong organizational skills to manage multiple tasks and priorities effectively.
  • Ability to analyze project data and metrics to inform decision-making.
  • Flexibility to adapt to changing project requirements and priorities.
  • Proactive approach to identifying and addressing project needs and challenges.
  • Demonstrate punctuality and dependability to support overall team success in a fast-paced environment.

Conditions of Employment:

Candidates must be eligible to work in the country of interest at the time any offer of employment is made and are responsible for obtaining any required work permits, visas, or other authorizations necessary for employment. Prior to their start date, candidates will also need to provide proof of their eligibility to work in the country of interest.
