Job summary: As Oceania Travel, Meetings and Events Manager, you’ll oversee Travel and M&E related spend and be involved in all activities for all markets in the Oceania region. A key focus will be on compliance to the travel and M&E policies plus identification of cost saving opportunities related to indirect costs, in particular the reduction of non-client related travel spend. This position will be the key day to day point of contact for the various Oceania-based stakeholders in relation to operational and reporting requirements as well as work closely with the relevant TMC and MMC to monitor key performance indicators and implement operational efficiencies to support APAC travel and M&E program initiatives. You’ll be expected to work independently, with support from Travel and M&E colleagues to establish and promote the vision and mission of Travel, Meetings & Events Services.
Essential functions of the job:
  • Support key senior contacts/stakeholders within the Oceania and APAC region
  • Have strong influencing skills to instigate change and support the Global Travel M&E Strategy
  • Work by and promote the values of Travel, M&E and Vision 2020
  • Individual must be an effective communicator who is self-motivated and result oriented
  • Influence policy and standards for Travel and M&E spend (including air, hotel, ground transportation, meals, agencies, and OBTs)
  • Manage out of policy bookings, escalating where necessary, acting as the escalation process for the TMC and MMC operations teams liaising with stakeholders
  • Day-to-day point of contact responding to questions and providing guidance specific to Travel and M&E operations for Oceania based stakeholders and the EY Travel M&E team
  • Ensure strong focus to continuously improve customer satisfaction ratings and champion customer issue escalation and resolution processes
  • Network with area Travel Management Company (TMC) and Meeting Management Company (MMC) colleagues to identify best practices in operations and provide recommendations to enhance and bring efficiencies to EY
  • Implement global processes and operations aligned with local needs
  • Review data reporting regarding compliance and ensure cost saving opportunities are identified and presented
  • Coordinate monthly compliance reports which detail cost savings achieved and any missed savings opportunities
  • Project work with Global Team colleagues to harmonize all processes worldwide
  • Drive performance, by managing and reporting key performance indicators (KPIs)
  • Assist in any procurement activity such as Travel and M&E related RFP’s
  • Review EY businesses’ compliance to overall program including BRET, Independence, Finance and Procurement
  • Drive best practices across all EY businesses
Analytical/decision-making responsibilities:
  • Support Travel and M&E Services to contribute the transformation of the global Travel and M&E organization, and implement strategies identified during initial phases of the transformation process
Knowledge and skills requirements:
  • Extensive knowledge of operations for transient and M&E processes/systems
  • Due to the matrix reporting structure, the individual must be adept at working with cross-functional, cross-regional and cross-location employees
  • Ability to drive change, by building strong, trusting relationships with key customers at all levels
  • Strong customer service focus and relationship management
  • Ability to communicate, challenge and persuade employees at all levels
  • Able to work as part of a regional and global team and understand the impact of actions on the overall team as well as to be able to work independently
  • Ability to manage contracts and ensure delivery of performance targets
  • Understanding of strategic trends in the major industries you support, with an ability to develop and implement appropriate operational strategies
  • Strong work initiative and the ability to adapt to new challenges and ideas, analytical capabilities
  • Effective written and verbal English skills. Mandarin written and verbal would be an advantage
  • Excellent technical understanding on travel related technology such as GDS and online booking tools
  • Strong analytical skills, commitment to quality, adaptability, change management, self-motivation and team work
  • Experience managing projects
  • Good MS Office skills including power point and excel
Job requirements: Other requirements:
  • Some travel around the APAC region will be expected as part of this role. The individual should also be flexible in terms of work hours as from time to time could need to participate on calls that may take place during evenings, due to the nature of the APAC time zone and working within a global team.
Education:
  • Advanced degree in a related discipline, typically Business and/or Supply Chain Management
Experience:
  • Significant years of business experience, including experience in a Travel Management company
  • Individual must have 5 - 8 years of experience in the travel/hospitality industry
