We are looking to add a Coordinator II Records to our team!

The Coordinator II Records is responsible for preparing OTC packages for construction and providing planners, CC Reps and construction and critical information to progress projects to construction. This role is also responsible for identifying, creating, correcting, and maintaining the distribution asset records related to the Niagara Region within a variety of our systems. An understanding of applying and obtaining permits required for construction jobs where planning and Customer Connections is involved but not exclusive to.

What You Will Do:

  • Prepare and issue permit applications according to external municipality’s requirements.

  • Prepare as laid drawings, stamp accordingly and issue OTC packages for Niagara Region Construction Dept.

  • Establish and maintain positive and open communication with external partners including municipalities, other utilities, internal departments (Planning, Corrosion, WMC, Engineering, etc.), Developers, and customers.

  • Investigate, validate, build, assign and/or complete Record Correction Requests by updating Maximo, iViewer, Master Data and SAP.

  • Work closely with Construction Supervisor and PSI to ensure up to date work creation, and schedule work related to asset related programs. Also includes AR&I cleanup work related to services and mains and specific Work order completion.

  • Responsible for ensuring that all other parties involved in the development of the project have completed their tasks, this includes the AFE, PO’s for re-billable projects, environmental checklist, and Land request forms for easements, water crossings, railroads, major highways, TCPL crossings, etc.

  • Analyze, evaluate, and resolve minor conflicts with customers both internal and external including our 12 Municipalities, with regards to address and premise issues.

  • Other duties as assigned, including weekly project updates, NPL workload list and Drafting workload list.

Who You Are:

You will have the following combination of education and experience:

  • A minimum of 3 years of experience.

  • Working experience with Field and Records procedures as they pertain to asset records; Proven experience reading and understanding asset records.

  • Working knowledge of operations applications including Maximo, SAP, iViewer, Document Tracker, Egis, Microsoft Office Suite, and Outlook.

  • Strong communication, time management, analytical and interpersonal skills.

  • Detail and results oriented; able to handle many tasks and maintain a high level of individual and team performance, passionate about providing excellent customer service.

  • Ability to work independently or within a team with a minimum of supervision and use Egis and iviewer to add, update, and maintain records.
