We are currently recruiting an administrative assistant for our factory located in Drummondville (250, rue Rocheleau, Drummondville, Quebec, J2C 6Z7). This is a temporary (6 months contract), full-time position. Reporting to the plant manager, The Administrative Assistant is responsible of providing administrative support to ensure efficient operation of the office by supporting the office administrator, managers and others department.
Tasks & responsibilities
- Ensure Time and Attendance records are completed and accurate
- Assist Human Resources in Recruitment to complete Phone Screens as required
- Support on site departments; Human Resources, Quality, HSE as required
- Manage incoming phone calls professionally and redirecting calls to the appropriate person
- Manage agenda; schedule and prioritize meetings and/or conference calls and ensure they run smoothly
- Sort the mail, faxes and packages delivered and delivering them to the appropriate person
- Filing documents
- Assist in administrative tasks and special projects
- Generate general reports and analyses for management Process
- Data Entry as required
- Buying office supplies, groceries and making sure there is always enough stock of both
- DEP in secretarial studies or other relevant training;
- 1 to 2 years experiences in administrative environment;
- High level of verbal and written in French;
- Fluent level of verbal and written in English is an asset;
- Solid organizational skills, rigour and attention to detail;
- Good ability to prioritize;
- Discretion and high level of professionalism;
- Ability to work independently and in teams.
