The Department of Mathematics & Statistics is a key academic unit within the College of Engineering and Physical Sciences that is an active and dynamic group of researchers and educators working in a wide range of fields in mathematics and statistics. The department is proud to offer both undergraduate and graduate degree programs. Each year the department teaches more than 10,000 undergraduate students across campus and supervises ~50 graduate students each year. Currently consisting of 26 faculty members, 4 regular full-time staff, ~5 sessional lecturer appointments, with an annual operating budget of $5.5 million and a sizeable research enterprise comprised of ~70 grants totaling $1.0 million in any given year.

Reporting to the Chair of the Department of Mathematics and Statistics and the Associate Director, Finance and Operations, College of Physical and Engineering Science, the Administrative Officer is responsible for providing financial, human resources and administrative support to the Department Chair, faculty, staff, and students in order to effectively manage the day-to-day operations of the Department.

Specific duties include: participating fully in the Department’s strategic and operational planning activities, responsible for helping to develop and implement strategies and systems to achieve the Department of Mathematics and Statistics’ financial and operational goals. Manages and monitors an operating budget of approximately $5.5M and research accounts of approximately $1.0M.

The incumbent is responsible for the human resources management of the administrative staff within Mathematics and Statistics and provides guidance and support to the Chair on various human resources matters within Mathematics and Statistics. This includes the direct supervision of 2 full time administrative staff members; ensuring adherences to collective agreements, legislation, University, College, and Department policies and procedures; coordinates all hiring for department including any staff vacancies.

This role is expected to manage and coordinate various administrative support activities for the department including matters related to faculty tenure and promotion. It is also expected that the incumbent will promote creative problem solving through ongoing communication and interaction with others both within the department and across campus. This includes being an active member of department, college, and where appropriate university wide meetings/committees. They will be expected to take on special projects and other duties as they arise. 

Requirements of the position include:

  • Undergraduate degree in business administration, and/or Human Resources Management or related field (obtained or working towards CPA or CHRP designation would be an asset) combined with up to three years related work experience, or an equivalent combination of education and experience.
  • Experiences with financial management and human resources management are essential for this position.
  • Experience working in higher education, or the public sector would be an asset.
  • Comprehensive knowledge of current financial software, public sector accounting and reporting.
  • A strong working knowledge of academic policies and procedures, as they relate to a teaching/research unit, would be considered an asset.
  • Exceptional organizational and planning skills along with the ability to meet deadlines and adapt to changing priorities.
  • Excellent communication skills and highly developed interpersonal skills with the ability to build strong working relationships.
  • You are a critical thinker and problem solver with the ability to apply analysis and professional judgment to solve complex issues.
  • You act professionally with tact, diplomacy and confidentiality.  
  • Strong initiative and leadership skills.
  • Strong computer skills including Microsoft Office Suite (Excel, Word, Power Point, Outlook 365), and the ability to learn and adapt to specialized software and systems at the University of Guelph
