Finance and Payroll Specialist

The (the Board) invites applications for the position of Finance and Payroll Specialist. This position is an integral member of the Finance team, reporting to the Manager of Finance. The Finance and Payroll Specialist will work closely with Administrators, Principals/Vice Principals, the Human Resources department to support financial entry accuracy, ensure adherence to school financial procedures and processes and participate in payroll administration by ensuring accuracy of financial information and adherence to legislative and employment terms and conditions. The ideal candidate will demonstrate a strong commitment to Gospel values and the teachings of Christ and the Catholic Church. KEY RESPONSIBILITIES:

  • Support school administrators and office assistants with finance processes, procurement, and budget.
  • Review financial transactions including payroll administration for accuracy.
  • Participate in financial audits and periodic financial analysis.
  • Perform data entry tasks including general ledger information in the Board's electronic platform.
  • Conduct financial reconciliation process for attrition of employees, leaves of absences, retirement gratuity payouts, vacation, pensions, etc.
  • Participate in payroll administration and make corrective action recommendations and ensure compliance with employment terms and conditions.
  • Complete pension audits and reconciliations (e.g., OMERS annual reconciliation).
  • Ensure compliance with Board financial processes and Canada Revenue Agency requirements.
  • Participate in the Board's annual T4 administration including conducting a review and analysis to ensure accuracy and Canada Revenue Agency compliance.
  • Prepare financial reports and analysis as required by the Manager.
  • Maintain absence codes and general ledger information in the Board's electronic platforms, ensuring general ledger accuracy.
  • Provide input for the development or implementation of financial and payroll policies, procedures, or processes.
QUALIFICATIONS:
  • A post-secondary diploma in Accounting, Business Administration or related field;
  • A minimum of three (3) years of finance and/or payroll experience preferably working within payroll administration, experience with pension and benefits, experience within a public sector and unionized organization(s);
  • Payroll Compliance Practitioner (PCP) or Payroll Leadership Professional (PLP) is an asset;
  • Demonstrated proficiency in Human Resource Information and Payroll Systems;
  • Advanced knowledge and experience with Google Workspace and Microsoft Office;
  • Strong analytical and problem-solving skills with a focus of attention to detail;
  • Demonstrated knowledge of pension plans (e.g., OMERS) and benefit programs
  • Related experience with financial processing;
  • Expert knowledge of Canada Revenue Agency requirements and processes; specifically relating to statutory payroll requirements;
  • Proficient knowledge of employment-related legislation including the Ontario Employment Standards Act ;
  • Ability to manage and address inquiries from various individuals on sensitive issues;
  • Ability to maintain strict confidentiality and discretion;
  • Demonstrated ability to work within a multi-disciplinary team;
  • Strong interpersonal, oral, and written communication skills including presentation skills, data collection and preparing reports;
  • Proven accuracy and attention to detail;
  • Ability to multi-task and manage conflicting priorities and deadlines with excellent time management skills;
  • Ability to maintain tact, discretion and strict confidentiality.
  • Ability to perform well independently and as a member of a team.
  • A valid class G (or higher) Ontario driver's licence and a reliable vehicle, this position requires use of own vehicle.
