We are looking for an Administrative Coordinator Distribution Protection to join our team!

In this administrative coordinator role, the focus of this position will be to provide administrative support to the Manager Distribution Protection and the Distribution Protection team in an efficient, accurate, and professional manner.

As an Administrative Coordinator Distribution Protection, you will be required to independently coordinate a diverse office operation and administrative duties combined with some project support.

What You Will Do:

  • Provide administrative support to Manager Distribution Protection and team, which includes but not limited to; handling correspondence, travel arrangements, maintain calendar, and time management.

  • Coordinate meetings, including logistics, preparation of agendas, presentation materials, tracking, and implement action items.

  • Maintain departmental sharing drives and SharePoint site.

  • Accountable for maintaining positive relationships with internal and external committees and/or organizations.

  • Consolidate, coordinate and analysis report for a variety of cyclical documents and processes, e.g departmental budget, coding invoices, expense processing, vacation tracking, time entry, and follow up required training offerings.

  • Provide friendly, courteous service to departmental visitors. Be collaborative, flexible and feel confident, and work well under pressure.

  • Handle sensitive information for the purpose of generating confidential reporting and tracking for the department.

  • Duties require an increased level of judgment, independence, and interpretation.

Who You Are:

You will have the following combination of education and experience:

  • A minimum of 3 years of directly related experience.

  • Excellent communication skills both verbal and written, demonstrate work ethic, attention to detail, flexibility with outstanding follow-through and follow-up.

  • Ability to think one step ahead, set priorities, organize workload and thrive in a fast paced environment.

  • Excellent judgment, respectful of proper corporate protocols and ability to deal with confidential material in a professional manner

  • High level of initiative/self-direction, with the capability to perform well under pressure while working independently and in a team environment.

  • Proficient with MS Office Suite (Excel, Word, PowerPoint, Outlook, Oracle) and demonstrated ability to stay up to date with advancements in office applications.

  • Strong skill for numbers and experience with Workday is an asset.
