This position is responsible for the administrative support of multiple group benefit and retirement (RRSP and pension) programs in Oracle HCM, primarily but not limited to our residences in Quebec.  This position will assist in maintaining a safe and secure environment for visitors and other staff members.  All duties are performed in accordance with Chartwell’s vision, mission and value statements.

The responsibilities of the role include but are not limited to:

  • First point of contact for inquiries relating to group benefits and retirement plans
  • Answer queries within a ticketing system or forward accordingly
  • Maintain administrative packages for group benefits and retirement plans
  • Administer benefits enrollments due to hires, job changes, transfers, terminations etc. and manage overrides for exceptions as applicable in HCM
  • Prepare billing for Benefits vendors (MBC and CHUBB) and coverages of employees in HCM, prepare cheque requisition and files processing by AP, benefit vendor and third party consultant
  • Validate weekly health and dental enrolments before it is uploaded to Benefits vendor claims system
  • Manage the semi-annual pro-rata process for applicable residences
  • Conduct audits pertaining to eligibility and participation
  • Prepare monthly benefit reports to be sent to the residences
  • Monitor enrollments in HCM and ensure Application forms are received by new employees on a timely basis
  • Conduct audits pertaining to eligibility and participation
  • Prepare LOA forms for cost share of Group Benefits during a Leave
  • Participate in the Leave process as determined by management
  • Conducts duties in accordance with Chartwell policies and procedures, as well as, government regulations, laws and policies.
  • Understands and follows all health and safety policies and procedures.  Works safely to reduce the risk of injury to self and other staff members.  Promptly reports all actual or potentially hazardous situations.
  • Maintains confidentiality of employees’ personal information.

The ideal candidates will possess:

  • Must be Bilingual (with the ability to speak and write in English and French) 
  • Knowledge of a variety of benefit and pension plans 
  • Must have experience working with unionized employees with the ability to interpret CBA's (Collective Bargaining Agreements)
  • Knowledge of benefits impact to payroll
  • Strong customer service focus – the ability to act tactfully, diplomatically and professionally
  • Excellent time management skills – the ability to multi-task, plan, and prioritize work
  • Effective communication skills (both written and verbal) with individuals at all levels of the organization
  • Strong interpersonal skills – the ability to establish and maintain effective interpersonal relationships
  • Ability to work independently, as well as part of a team
  • Ability to interpret and implement company policies and procedures
  • Ability to prepare reports and present findings
  • Ability to maintain a high level of confidentiality
  • Computer literacy – proficiency in Microsoft Office (MS Word and Excel)
  • Strong attention to detail
