We are currently looking to hire a Laboratory Help Desk Coordinator in Winnipeg, MB to assist in maintaining the daily operational and functional workflow in the Laboratory, including taking sick calls and scheduling.

Employment type: Permanent Full-Time
Shift details: Monday to Friday, 8:30 am to 5:00 pm

Number of hours: 80 hours biweekly.

Responsibilities:

  • Responsible for entry of timesheets and schedules, data entry of payroll, ensuring accuracy and timely submission to payroll department

  • Responsible for managing annual vacation request process

  • Create and distribute memos and protocols for laboratory staff

  • Assist in the distribution of correspondence to laboratory staff and maintains detailed logs

  • Assist with the implementation of policies and procedures by aiding employees, as required, on the interpretation and administration of said policies and procedures

  • Maintain employee training and payroll files and provide administrative support in updating these files.

  • Scheduling of laboratory staff according to collective agreement language in collaboration with department charge technologists, including monitoring weekend scheduling.

  • Calling of staff to replace sick calls, updating attendance calendar and absence log, flagging issues to Managers as appropriate for each lab department.

  • Providing support to the Manager, Laboratory Operations as required in the administration of the Collective Agreement language, which includes tracking employee leave days, vacation, attendance, etc.

  • Maintain detail logs of all inquiries, problems, and their solutions

  • Prepare weekly and monthly reporting, as required. Including but not limited to volume reports, turn around time, productivity, etc.

  • Collaborate with managers and charge technologists in the maintenance of department SOPs and job aids.

Must have:

  • A secondary school diploma (Grade 12) or equivalent

  • Minimum of five (5) years’ experience in a Patient Services field

  • Excellent computer skills with intermediate or high level of Excel

  • Excellent communication skills

  • Formal Training in the areas of Medical Office Assistant, Medical Transcription, Unit Clerk, Medical Terminology, or similar programs would be considered an asset.

  • High level of service experience in a fast-paced environment by delivering prompt, courteous and professional service to all staff and clients.
